Facilities Buyer's Equipment Replacement Checklist for Thermostats, Ice Makers, and Outdoor Tools

I manage facilities purchasing for a 170-person engineering firm. That title sounds more strategic than the daily reality. Most days I am chasing purchase orders, checking vendor invoices, and hearing about the break-room ice machine from people who are not interested in why it stopped making enough ice. I handle roughly 60 to 80 replacement and service orders a year across about 15 vendors, reporting to both operations and finance. The part that still surprises people is how often I prevent someone from ordering new equipment before we know what is actually broken.

This is the checklist I use before recommending a replacement for anything. It started with thermostats, expanded into appliances, and eventually covered a leaf blower. Step 1: Confirm the failure before you confirm the order

When a room is hot or cold, the immediate instinct is to replace the thermostat. I almost made that mistake in our own office. Then attach a small label to each wire and write down the terminal letter from the old backplate. R, Rc, Rh, W, Y, G, and C all matter. C is not always blue, so do not trust color alone. If the back of the old thermostat says 120 VAC or 240 VAC, do not connect a standard low-voltage smart thermostat to it. An Emerson Sensi is designed for low-voltage HVAC systems. For line voltage, you need a thermostat rated for that use or a contractor-supplied relay to step down the control circuit.

While you are looking at the old wiring, find the C terminal. A C wire, or common wire, supplies constant power to the thermostat. Wi-Fi thermostats need power even when the heating or cooling is not running. If you are buying an Emerson wifi thermostat, ask for a photo of the existing wires before scheduling the install. That one photo prevents the C-wire surprise.

Step 4: Complete programming before you announce the project is done

The screen turning on does not mean the installation was successful. It only means the thermostat has power. The final step is to verify the equipment responds.

Set the thermostat to heat and raise the temperature about 5 degrees above the current room reading. Wait for the heating system to start. If you have forced air, hold your hand near a vent and confirm the air is warm. Then, if weather allows, switch to cooling and drop the setpoint 5 degrees. Confirm the fan runs and the air gets cold. Two other details matter: heat pumps often have a built-in delay before the compressor starts, so do not panic during the first five minutes. And always check that the fan and heating or cooling mode are not fighting each other.

Common mistakes I still deal with when I rush

  • The ice machine was not the only cost. When we chose a larger nugget ice maker, I focused on ice production and brand reliability. I did not think about the drain line. The old unit had no dedicated drain nearby, so the installation crew needed a condensate pump and extra plumbing. The machine itself was fine; my cost estimate was not.
  • A leaf blower is not just a leaf blower. The landscaping crew asked for a Stihl leaf blower to replace the one we had. I ordered a model without asking whether they wanted battery-powered or gas-powered. It was a good product, but it required mixed fuel and was heavier than the old unit. Now I ask the actual user before ordering anything with a handle.
  • Skipping the C-wire check. If there is no C wire, adding a Wi-Fi thermostat may require a power extender or a new wire. I used to find out during installation. Now I ask the person on-site to send a photo of the wires before I select the thermostat. That simple photo has saved us at least one failed install.

From a purchasing standpoint, there is also a brand-image side. Clients and employees feel a comfortable temperature before they see a logo. When we put the wrong equipment in the front lobby and had to wait for another installer, the office looked disorganized. The right thermostat is not just a comfort item; it is part of how the company presents itself.

I still do not consider myself an HVAC expert. But after enough replacement projects, I have learned that a careful checklist saves more time than any rush shipping option. Confirm what is broken. Label wires. Know the voltage. Finish setup. Test the whole system. That is the entire process, and it works no matter whose name is on the thermostat.
