Facility Buying Checklist: 5 Steps Before You Order Emerson Sensors, Heaters, and Breakroom Gear

I'm the office administrator for a small company—about 60 people across two buildings. That title means I'm the one who orders replacement HVAC parts, breakroom equipment, and everything the facilities crew needs to keep the place running. In a normal year, I place roughly 80 orders across maybe a dozen vendors. And for the first couple of years, about one in five of those orders ended up being a return or a “this doesn't fit” phone call.

This checklist is for anyone who handles similar buying: office managers, facility coordinators, small business owners who are the procurement department by default. It covers five things I check now before ordering anything—from an Emerson temperature sensor to a countertop ice maker that actually stays clean.

Step 1: Verify the Emerson temperature sensor type before you compare prices

When our HVAC contractor said we needed a new temperature sensor, my first instinct was to search for an Emerson temperature sensor and pick the cheapest listing. That would've been a mistake.

Emerson makes several sensor families—10K thermistors, RTDs, digital probes—and the one you need depends entirely on the controller you're wiring it to. Three things I check now:

  • Resistance curve. Most residential and light commercial thermostats use a 10K Type 2 thermistor, but not all. A 10K Type 3 sensor reads differently, and your system will think the room is warmer or colder than it really is. I learned this the hard way in 2022: a “compatible” sensor ended up costing us a $180 service call after the contractor had to come back and verify why the temperature reading was off by six degrees.
  • Wire length and shielding. If the sensor is going into a mechanical room at the end of a long run, you need shielded cable and the right lead length. Don't assume the standard 6-foot lead is enough.
  • Original part number. If you're replacing an existing sensor, match the part number, not just the specs. “Compatible” isn't the same as the original calibrated part.

It's tempting to think a temperature sensor is just a temperature sensor. It isn't. The resistance curve has to match the controller's expectations—and that's the detail nobody mentions in the product title.

Step 2: Match the Emerson ceiling fan light kit to the actual fan

The second Emerson product I order regularly is a ceiling fan light kit. Our breakroom has older Emerson fans, and when the light fails, it's usually cheaper to replace the light kit than the whole fan.

The catch: Emerson sold fans across many model lines, and the light kit mounting pattern changed over the years. Before ordering, I:

  1. Find the fan's model number. It's on a sticker on the mounting bracket, not on the visible housing.
  2. Measure the diameter of the existing light kit opening. A kit that's close but not exact will rattle, and the flange won't sit flush.

Buddy heaters—the portable propane heaters made by Mr. Heater—are popular in warehouses and loading docks, and for good reason. The current units have oxygen depletion sensors and tip-over shutoff, which is a big step up from the unregulated construction heaters I remember from decades ago.

But there are limits you need to verify before you order:

  • Indoor rating and ventilation. The basic Buddy is rated for indoor use, but “indoor” doesn't mean “sealed room.” Check the square footage rating and make sure the space actually gets ventilation. If the room is tight, this heater isn't the solution.
  • Propane source. The smaller units take 1-pound disposable cylinders, or you can get a hose for a 20-pound tank. Check which one your crew will actually use. In January 2024, our crew blew through a stash of 1-pound cylinders during a cold snap, and the heater sat useless for half a day until someone found the bulk tank adapter.
  • Clearance from combustibles. The manual has a minimum clearance spec. It sounds obvious, but I once found a pallet of cardboard boxes two feet from a running heater. That's how you get a building fire.

The safety tech has evolved a lot in the last decade, and that's good. But the fundamentals—ventilation, clearance, fuel handling—haven't changed, and they're the part that keeps people safe.

Step 4: Pick the Milwaukee leaf blower platform, not just the tool

Seasonal maintenance means that in October, I'm buying leaf blowers. Our grounds crew needed a new one this year, and the question wasn't “Milwaukee or not”—it was “which power source fits the tools we already own.”

The Milwaukee leaf blowers you'll find on most distributor shelves sit on the M18 battery platform or a corded option. The M18 Fuel blowers give you more power and runtime than the standard M18, but it only makes sense if you're already in the M18 ecosystem. If your crew carries a different battery platform, buying into Milwaukee batteries you don't own yet is a cost that never shows up on the price tag.

Three things I check:

  • CFM vs. MPH. Higher CFM moves volume; higher MPH clears debris out of cracks. Match the spec to your actual job. A parking lot and a landscaped entryway need different numbers.
  • Runtime and charging. If the crew can't keep batteries charged, the extra power doesn't matter. In 2024, I bought a blower with a great runtime but a slow charger. Guess what bottleneck showed up the next morning?
  • Who's actually using it. This is the one I used to skip. If your maintenance person has back issues, a 15-pound backpack blower is a bad idea no matter how good the deal is.

Battery platform ecosystems didn't exist in this form ten years ago. It's a genuinely new consideration, and it changed how we think about every cordless purchase.

Step 5: Set up a countertop ice maker cleaning schedule before someone complains

This one is the least technical and probably the most important for internal customer satisfaction. We have a countertop ice maker in the breakroom, and if it's not cleaned on a schedule, I hear about it from someone who got a funny-tasting ice cube.

Cleaning a countertop ice maker isn't hard, but it has to be consistent. Here's the routine I posted in the breakroom:

Weekly:

  1. Unplug the unit and empty the ice basket.
  2. Wipe down the interior with a soft cloth and warm water.
  3. Clean the air filter. This is the step everyone forgets. A clogged filter kills ice production faster than anything else.

Monthly:

  1. Unplug and empty the machine completely.
  2. Mix a descaling solution—citric acid or a commercial ice maker cleaner. White vinegar works in a pinch, but a dedicated descaler is better.
  3. Pour it into the water reservoir and run the cleaning cycle if your unit has one. If not, run a normal cycle and discard the ice it produces.
  4. Rinse by running two or three cycles with fresh water.
  5. Wipe down the exterior and vacuum the intake vents.

And a warning: don't use bleach. It can damage the metal components and leave a taste that doesn't wash out for days. In 2023, someone ran bleach through ours, and we spent three days fighting a chemical aftertaste. Trust me on this one.

The lesson here mirrors the rest of the list: buying the ice maker was easy. Keeping it from becoming a slow, borderline-gross machine is the actual job. (Which, honestly, is true for most of this equipment.)

Common mistakes I've made so you don't have to

If there's one theme to this checklist, it's that facility buying is about matching the part to the system, not just finding a good price. A temperature sensor with the wrong resistance curve looks exactly right until you check the actual temperature reading. A light kit that doesn't fit your fan's mounting bracket wastes a week of your time and annoys everyone in the breakroom.

  • Don't trust “fits all” listings. Check the manufacturer's compatibility list. Emerson publishes which sensors and kits work with which controllers and fan models. If the listing doesn't show yours, it probably doesn't fit.
  • Keep price references time-stamped. As of Q1 2025, I've paid roughly $40–150 for Emerson temperature sensors, $90–250 for ceiling fan light kits, $90–180 for Buddy heaters, and $150–350 for Milwaukee leaf blowers depending on the platform. Those numbers come from major distributor listings, and they'll shift. Verify current rates before you budget. (Don't hold me to those numbers a year from now.)
  • Document everything. Keep a spreadsheet with the part number, order date, and vendor. When something fails a year later, the part number is worth more than the warranty receipt.
  • Budget for training. The ice maker cleaning routine, the heater's clearance rules, the blower's battery care—none of it works if nobody's been shown how to do it.

Bottom line

What was best practice in facility buying in 2020 isn't necessarily best practice in 2025. Online spec sheets, battery platform ecosystems, and sensors that didn't exist a decade ago have all changed the landscape. But the fundamentals haven't changed: verify compatibility, check the safety requirements, and think about who's going to use the thing after it arrives.

Do that, and your return rate drops, your internal customers stop complaining, and buying season stops being a headache.
