Preventive maintenance is cheaper than every repair I've ever paid for. That sounds like a bumper sticker, but I didn't learn it from a bumper sticker; I learned it from a stack of invoices totaling roughly $3,400 in three preventable HVAC failures at a small café in Emerson, Georgia.
I caused two of those failures. The third one I caused by ignoring equipment until it was too late. None of the three was caused by bad equipment. All three were caused by bad process on my end.

Mistake #1: The thermostat wiring fiasco

I did not take a starting photo. I did not label the wires with tape. When I pulled the old backplate off the wall, two of the wires slipped out of their terminals and disappeared behind the drywall. I fished them out with needle-nose pliers, nicked one strand of insulation, and didn't think much about it. The next afternoon, the air conditioner stopped working completely. The service tech found a blown low-voltage fuse on the air handler, caused by the damaged wire touching the metal box. The visit cost $175 — more than the thermostat itself (ouch).
The cheap fix is also the simple one: shut off the system at the breaker, take a clear photo of the old wiring, and label each wire with masking tape using the old terminal letter before loosening the screw. The technician still spent hours defrosting the coil, cleaning the drain pan, and verifying pressures. The invoice was $780.
A fresh 20x25x1 MERV 8 filter cost about $12 to $18 at local stores as of February 2025. The math is not subtle. If you have any painting, drywall, or construction work done, replace the filter the same day the crew leaves — even if it still looks clean. Mistake #3: The small chest freezer I suffocated
The restaurant keeps a small chest freezer in the back storage room for extra cases of chicken and frozen vegetables. We bought it secondhand in 2022 for a good price and pushed it against the wall so it wouldn't stick into the walkway. That was the beginning of the problem.
By the fall of 2023, the small chest freezer was running almost constantly. I told myself that was normal for a freezer in a hot kitchen. Then in December 2023, the compressor's thermal overload finally gave up late on a Friday night. I found it Saturday morning with water in the bottom and roughly $470 worth of thawed product in the trash.
The technician who came out, yes, for a weekend emergency call, opened the compressor compartment and showed me a thick layer of dust and kitchen grease packed into the condenser fins. The unit had no airflow behind it, and the wall side of the compressor compartment was blocked completely. It had been running its heart out in its own trapped heat for months.
Freezers are like people: they need to breathe. In my replacement unit, the compressor is made by Copeland, Emerson's refrigeration compressor brand, and I don't want to see it die early. So now the back of the freezer gets four inches of clearance, and I vacuum the compressor compartment grille every 90 days. Don't buy a consumer-grade small chest freezer and expect it to survive a commercial kitchen. The replacement cost more, but it is rated for commercial use, and it has a serviceable compressor compartment that can actually be cleaned.
The checklist I use now
After the December 2023 freezer failure, I typed up a maintenance checklist and hung it on the inside of the storage room door. In the 14 months since, that checklist has caught 27 potential issues before they became invoice-sized problems. The core items are simple:
- Check the air filter every 30 days. Ours is a 20x25x1, and the size is written on the return grille with a marker.
- Replace the filter immediately after any painting, drywall, or construction work — even if it looks clean.
- Keep the area around the small chest freezer clear, and vacuum the compressor compartment grille every 90 days.

What I still don't know
Honestly, I'm still not sure why the original electrician ran that thermostat cable with an unused blue wire instead of just pulling a proper five-wire cable. My best guess is that the old thermostat didn't need a common wire and the installer left it disconnected. But I never traced it back to be sure.
I've also never fully understood emergency HVAC pricing in northwest Georgia. The premiums vary wildly between companies, and I suspect it's more art than science. That's exactly why prevention matters — reading a thermometer and waiting until Saturday is not a price negotiation strategy.
